Searching, Searching, Searching

Looking for Something Specific?

You spend time carefully adding new contacts to the system, classifying what type of contacts they are and diligently documenting things that you do for your clients. An important feature of any database is the ability, once you enter this data, to search for that information quickly and efficiently. However, sometimes there are some searches that you may need to do that are very specific for which some of the basic search features just won't do the trick.

In this month’s issue we are going to focus on some of the lesser known, but more powerful search features that are available to you from within Junxure.

Client Super Search

Let’s say that you are having difficulty locating a specific contact record because you cannot remember the last name of the contact. As long as you know some other piece of information, you can find that contact using the Super Search.

The Client Super Search form enables you to search for contacts utilizing matching across many of the contact data fields such as by phone number, state of residence, email address, and much more. For example, if you only know the phone number for a contact you want to search for, you can use the super search form to locate the contact that has that phone number listed in their record.

There are two places you can access the Client Super Search. First, you can access it from the Main Menu; select the People menu and then the sub menu of People (also known as the People/People Menu). Single Click on the Super Search option in the column to the right of the main menu to access a screen similar to that shown below..



Tip 1: The Extended Criteria choices will enable you to instruct Junxure to look for exact or partial ("contains" means the search criteria may be a portion of the entry- for example, Johnathon would be displayed if "contains" was used for a first name of "John", but "=" would only yield "John" results.

Tip 2: Using too many criteria or criteria that are too specific may filter out all results. If your search yields no results, try using "contains" instead of "=" or removing some of the criteria altogether.

Tip 3: Use the Wild Card search field will search by the Client’s last name, first name, nick name, and salutation.

You can also access the Client Super Search form from within any contact record by selecting the binocular icon at the top of the contact form as shown circled in red below.

Global Searches

Click on each header below to access detailed instructions for each global search feature.

Action Search Form
Let’s say that you need to look for all actions across the database for any action description that mentions anything to do with beneficiary changes. You can use this search form to do so.

Access the action search form from the Main Menu->Reports->Reports List->Action Search form

In the example below, searching for the word beneficiary in the Action Description fields pulled up two actions for two different contacts.



Other Helpful Global Searches Located in the Reports List:

Global Action Search Form (Keyword)
The Global Action Search Form (Keyword) allows you to search for specific actions by keyword, or action text. You also have the ability to save searches for later use.

Global Recurring Actions Report
The Global Recurring Actions Report shows all recurring actions by client with action details such as start date, interval, type, action description, date last added, and expiration date. Also included is the history of all recurring actions completed.

Global Email Report Between Dates
For audit or compliance purposes, you may occasionally be asked to locate all emails written to/from clients in a given timeframe. Or, you may need to locate an email that was sent out but are unable to locate it through any of the other conventional means. These two cases are solved by the Global Email Report.

Global Pending Process reports
Global Pending Process reports tool enables you to search the database by rule or across all contacts to view actions broken down by assigned Processes.

Global Action Sequence Report
Tracking Action Sequences globally can be done through the Global Action Sequence Report. This enables you to see all existing action sequences assigned to contacts. Use this report to track who has sequences and what stage of completion they are in.

You can also search all action sequences globally directly from the main menu.


 


Advanced Action Filter

On the Actions sub-tab there is an Advanced Action Filter which allows you to search for actions from within any contact record beyond the capabilities of the grid filters.

For example, let's say you would like to search for all actions for George Andrews, entered after July 1, 2009, and assigned to Holly Cambern. Entering the criteria in the fields of the filter actions window will result in a list of actions meeting that criteria as shown in the resulting grid below. You can be very specific and choose one or more items to filter by, however, the more specific you are, the narrower the list will be and if you are too specific, you may end up with no results at all.
