Junxure Tips, Tricks & FAQ's

If I send an email in Outlook and use the CC header, will that email be captured and copied into Junxure too?
No.  Junxure will only try to match the first email address in the “From” header of a received email and the first email address in the “To” header in a sent email. Also, the email address being searched must match a client record with the classification of “Client” or “Email”.

When Junxure is set-up to automatically "Capture" email from Outlook, how does that work?
Junxure will try to match an email address in a contact record.  When there is a match, Junxure will make a copy of that email and then record the email copy in an action under the appropriate contact record.  The original email in Outlook will not be deleted. IMPORTANT: In order for Junxure to automatically capture email, there must a classification of either CLIENT or EMAIL (or both) recorded in the profile tab for the contact.  Also, email handling must be turned on.  See our video on email handling for more information.

How do I turn off the yellow "balloon tips" that appear throughout the program? (Version 7)
These are called Tool Tips and they provide you with helpful tips for certain areas of the program.  Tool Tips in Junxure, like the one below, can be enabled and disabled via System Options/Local Options.

TT1

To set the local option to either enable or disable tool tips, go to the Main Menu> then Maintain System > System Options. Find the local option called Display Tool Tips and check it to enable tool tips, uncheck it to disable.
Note: This is a local option, meaning it is a user by user setting.

Junxure in Practice

Global Email Wizard (version 7 shown)

A great way to expedite important (perhaps reassuring) information to your clients, is to take advantage of the Junxure Global Email Wizard.  The wizard will create email messages and actions for multiple contacts at the same time.  Note: To ensure your client's privacy, when you send emails utilizing the Global Email Wizard, an individual email will be created and sent for each of the selected contacts.  Each email sent will then be captured and copied into Junxure into a new action and recorded in the appropriate contact record.

Step 1: On the Main Menu, go to Letters >Global Email Wizard to open the wizard. Use the Next and Back buttons to move between screens.

GEW1

Step 2: Use the drop down menus to choose an appropriate rule for the report, or use the Edit/New Rule buttons to create your own Rule.  See the on line user manual section on the Rules Builder for more information on using these filters. Choose which email address to apply (preferred, home, work, etc). You may choose to send this email to any Associates with CC (carbon copy) indicated on the Associates Tab, click the CC all emails address marked as additional. Click next at the bottom to continue.

GEW2

Step 3: Junxure will prompt you to fix recipient addresses that do not match the overall type of email chosen above by highlighting the line in red with exclamation marks. In this case, a preferred email address has not been indicated. Double click on the missing email address field to view available email addresses.

GEW3

Step 4: When the missing email field is double clicked, an email address window like the one below will open. Double click on the email address to add the email and then select the "Update Wizard" button.  You will then be returned to the wizard.

GEW4

Step 5: Uncheck any contact that should not receive the email, then click the Remove Unchecked button highlighted in yellow below to update the list.

GEW5

Step 6: If this requires no further action beyond the creation of the email, fill in the Type, Process and Note box, then click the Completed button just above the area highlighted in yellow. If action is required, click the button and complete the area highlighted in yellow, adding Action Keywords if necessary.

GEW6

Step 7: Junxure will provide a report of the results as indicated in prior steps . Review this for accuracy, using the Back button to change any steps. Give a concise but descriptive name for this email in the Letter History Name area below. This will used to access the email for reporting purposes, but will not show up anywhere on the outgoing email itself.

GEW7

Step 8:  Click the Finish button to create the email.

Step 9: Junxure will produce a pop up warning. Click Yes to record in actions which will a record an action for each of the recipients.

GEW8

Step 10: An email window opens. Depending on the version of Microsoft Outlook being used, this window may look slightly different on your computer, but the Junxure tools should appear the same in the right hand side of the window. Fill in the fields as you would any email, or use the merge fields to have Junxure auto fill data from the contact record. See the on line user manual section on Creating Email through Actions for more information regarding creation of emails through Junxure.

GEW10

Step 11: Click Merge and Send when email creation is completed.

Step 12: A pop-up will then ask if you would like to save your email as a template.  Click NO to send your email without saving it as an email template.  Click YES if you would like to save your email as a template.  Make sure you review our documentation on how to create Email Templates.

Step 13: A new pop-up will then appear.  Select Yes to exit the wizard.

You will notice that a separate email to each contact will now show in your Outlook Sent Items folder.   You will also notice that a new action will appear under the contact tab for each recipient.  In that action, a copy of the email will be available to view under the Email Subtab.
