In these times of unprecedented change, turmoil and volatility in the markets, responding to client questions and concerns in a timely and effective manner is how you show your true value. CRM Software’s President, Greg Friedman, MS, CFP® recently shared how his wealth management firm, Friedman & Associates, is surviving and thriving during this incredible time we are experiencing in the markets. 

A saving grace for Friedman & Associates’ advisors has been their ability to keep key information at their fingertips in Junxure and then being able to communicate with as many clients as possible, quickly and efficiently.  Where many recent discussions with clients have involved similar topics, advisors have been able to automate information gathering and distribution to quickly respond to client inquiries and be proactive with more sensitive clients.

Global Action Wizard

The Global Action Wizard makes it easy to add the same action to many clients in one fell swoop. 

To access the Global Action Wizard, go to the Main Menu->Reports->Reports List->  Select category of Actions from the center section  then select Global Action Wizard from the list on the right-hand side.

When you select the Global Action Wizard, you will notice that the Letter Wizard Window will appear.  The global action wizard is the same as the letter/envelope wizard.   The differences are 1) You do not select a document to send 2) You will select that an action is required 3) You will not print anything, you will only select to record actions for all of the selected contacts.

Action Templates

Action Templates allow Junxure users to save time by pre-filling data fields that are the same every time a task is created. Fields such as “assigned to,” “action type” and “action description” can be pre-populated. Your office might create Action Templates for “Market Volatility” calls. Actions for these calls can then be entered quickly, efficiently and consistently into Junxure. 

Saved Action templates can be accessed from the contact form by selecting the Add Action drop down menu as shown in the example below. Like other areas of the program, Junxure gives you the ability to categorize your saved action templates as shown in the top half of the drop down menu.

Below is an example of an action when selecting an action template. The areas highlighted in yellow were pre-filled and saved in an action template called Seminar Follow-up Calls with a category of Marketing.

To create Action Template Categories and Action Templates go to the Main Menu->System Setup->List Data Maintenance->Action Template Categories or Action Templates .

The Notes Library

While Action Templates pre-fill data in an entire action, the Notes Library provides shortcuts for creating text within any of the three large text boxes in the middle of an action’s details. For example, to prepare for a client call, you can choose from a list of pre-defined talking points instead of typing the same text repeatedly into a new action.

To set up your notes for the Notes Library go to the Main Menu->System Setup->List Data Maintenance->Notes Library.

The example below shows a note library entry for a Financial Planning Review Preparation.

Access your saved notes, stored in the Notes Library, from any action detail window. By double clicking in any text box, these pre-defined texts will be brought up, allowing you to choose to quickly add text instead of writing the same directions repeatedly.
